Common Reminder to Post Errors and Fixes

Is Cap Patrol saying a member did not post a score when they did?

Below are common Reminder to Post/Did Not Post issues and how to resolve them

Member receiving a Reminder to Post notification when they have posted a score

Common causes:

  1. Member was booked for two different tee times that day. When this happens Cap Patrol is expecting two posted scores.
    1. To check this go to your Daily Tee Time Summary for the date in question to review all Tee Sheet bookings. If you see a double booking please mark the Tee Time that golfer did not attend as a DNP/No-Show

  1. Member posted their score on the wrong date.
    1. It is common for a member to post a score the day after, and use that date as the date of play. You can confirm this in the Member Tee Time Report or in the members Golfer Score Audit.

To fix this, have the member change their posting date in GHIN/WHS or do it for them if you have the ability to do so.

Member receiving a Reminder to Post notification when they did not play

Common causes:

  1. Member booked a tee time and did not show. If that Tee Time was not removed from your tee sheet before closing of the day, Cap Patrol will get tee sheet data from your provider indicating they played that tee time.
    1. To fix this in Cap Patrol, go to the Daily Tee Time Summary for that date and mark that round as DNP/No-show

  1. Tee Time was booked under the wrong name. This is common with family at the club. When a Tee time is booked under a member’s name Cap Patrol is expecting a score posting for that member in GHIN/WHS. We will send that member a Reminder to Post notification
    1. To fix this in Cap Patrol, go to the Daily Tee Time Summary for that date and mark that round as DNP/No-show. Cap Patrol recommends communicating the importance of booking tee times under the proper name with your membership. It is important for tracking posting compliance.

Are Reminder to Post notices not sending to the members you want them to?

Below are common Reminder to Post/Did Not Post issues and how to resolve them

Members not receiving Reminder to Post notifications when they should have

Common causes:

  1. Member is being registered as a guest in the Cap Patrol System.
    1. You may notice a “G” for Guest designation in the “Golfer Type” column on your Daily Tee Time Summary for a member at your club. This means your Tee Sheet provider does not have a GHIN ID # or WHS ID # tied to that member in they’re records.

Why is a member being registered as a guest in Cap Patrol?

Cap Patrol matches member scoring records to tee sheet data using GHIN ID # or WHS ID #

To fix this, please email your Tee Sheet provider to determine the most efficient way update your Club Roster with GHIN or WHS ID#’s in their system. Include in the email “Our club would like to update our roster with GHIN (or WHS) ID #s to assist with our Cap Patrol Integration”

If your Tee Sheet provider cannot add GHIN/WHS ID#s please make sure each member in your GHIN/WHS database has a unique name that exactly matches your Tee Sheet records. This includes adding proper suffixes and not using nicknames when booking Tee Times, like Bob vs. Robert.

  1. Cap Score threshold in Reminder to Post settings is set too low to include that member.
    1. See Reminder to Post - Setup tutorial for step by step instructions on how to get the desired Reminder to Post Settings for your club
