Member Education Program

Sending Cap Patrol’s handicapping education documents and custom education documents to your members

Cap Patrol offers the use of an automated email campaign to deliver handicap education documents to your members. This is known as Cap Patrol’s Member Education Program.

Cap Patrol provides a series of educational documents for golfing members of the USGA/WHS. Cap Patrol also gives you the option to add any custom educational documents to your Member Education Program that apply to your club’s policies and procedures.

Using Cap Patrol’s Member Education Campaign, the club can choose which documents will be sent, and when those documents will be sent.

Before scheduling the your Member Education program, upload any custom club related documents to your program.

Upload Club Documents

NOTE: If you wish to use the Cap Patrol supplied Education Documents and do not have any custom documents to add you can skip the following steps.

To upload custom club documents to your member education program:

  1. Select Handicap Committee in the left-side menu
  1. Select MEMBER EDUCATION tab
  1. Scroll to the bottom of the page to view Available Documents
  1. Click the UPLOAD DOCUMENT button on the right hand side of the screen

First, select the CHOOSE FILE and select the document from your computer you wish to upload.

Next, type the Document Name in the the corresponding field

NOTE: Make sure each file has a unique name for ease of management. Please confirm the name of your uploaded document does not match any of the provided Cap Patrol documents.

You may also add a description for our own record keeping

Select the UPLOAD button at the bottom of the page to upload your document to the list of Available Documents in your Member Education Campaign

You will now see the custom document you have uploaded in the Available Documents list.

The documents you have added will read “Club” in the source column, noting that this document was added by the club.

The documents added by the club are able to be deleted by clicking the red trash can icon in the actions .

All documents are able to be viewed by clicking the blue download icon in the actions column

Once you have your desired documents uploaded to Cap Patrol’s Member Education page, you can now program the Member Education Program email campaign.

 

Programming a Member Education Email Campaign

To program your Member Education Program email campaign:

  1. Select Handicap Committee in the left-side menu
  1. Select MEMBER EDUCATION tab
  1. Click the SCHEDULE CAMPAIGN button on the top right of the screen

A pop up window will appear to “Schedule Member Education Campaign”. In this pop up window there will be several options to customize the delivery of you club’s Member Education Program. They are as follows:

  • Schedule Pattern
  • Start Date
  • Delivery Time

First, Select the setting of your choice for each of these fields

Next, select which documents are to be included in your Member Education Campaign

All Available Documents, both Cap Patrol and Club added documents, will default to be included in a new Campaign. Use the red X in the right hand column to remove documents from your campaign

To set custom email dates and/or rearrange the order in which these documents are sent use the Custom Dates pattern, then edit the send date for each individual email

An alternative way to set the order in which these documents are sent is to remove all the documents for the campaign, then add them back in your desired order.

NOTE: Cap Patrol does not recommend changing the order of the Cap Patrol provided documents. We only recommend inserting any Club uploaded documents into the campaign at your desired place within the campaign. See Example below of how to start a campaign with a Club uploaded document, then proceeded by all of the Cap Patrol documents in order

Scroll down to the bottom of the “Schedule a Member Education Campaign” window and select the SCHEDULE CAMPAIGN button to finalize and schedule your member education email campaign

You will now see your newly programmed member education email campaign in the Scheduled Campaign window.

If you wish to delete all or any part of a scheduled campaign, select the corresponding check box next to the Document name, then hit the DELETE SELECTED button in the top right of the window
