Cap Patrol contains several functions around custom communications to the members of your club. We allow you to:
- Send customizable email communications to a select list of members.
- Keep an inventory of Message Templates
- Schedule communication delivery for a future date and time
- View your history of sent messages
This Tutorial will cover all those functions and the options you have within each one.
Draft a New Email
To draft a new email:
- Select Admin in the Left Side menu
- Select the TEE SHEET COMMUNICATIONS tab
- Select the CUSTOM tab
- Click the DRAFT NEW EMAIL button

Select between “Use Existing Template” or “Draft Custom Email”

If you are using a template, click the “Select Template” drop down menu. A list of your templates will appear, select your desired template.

If you are drafting a one-time custom email, select “Draft custom email” and continue

Audience Selection
You will have 4 options here:
- Active USGA Members – Every active USGA member on your club roster
- Active USGA Members – Only Men – All active men on your roster
- Active USGA Members – Only Women – All active women on your roster
- Individual Members – This allows you to select one or multiple members from your club roster of your choosing

To select individual members, type the members name or GHIN # in the search bar next to “Active Member List”. Then select the member from the drop-down list.

The member(s) you selected will appear in boxes below. If you wish to remove one from your mailing list, simply click the X next to their name

The Filters section below contains more custom filters to narrow down your audience to the specific intended group you are looking for.
The filters include:
Cap Score
Date of Play
“Posted”, “Not Posted”, and “All”
NOTE: Any members “Disabled” in the golfer table will be excluded from any audience selection criteria.
Here is an example of how Audience Selection and Filters can get you the intended group
Active USGA members with a Cap Score below 70 that posted a score between the dates 6/06/2024 and 9/25/2024
At the Bottom to the “Filters” section it will display the “Number of Members Meeting Criteria”
In this example it is 12

Schedule
This selection gives you the option of when to send your E-email
You can select “Send Now” or “Set schedule”
For “Set schedule” you can choose a Date and Time from the drop-down menu’s

Template
This will show you the content of your Email Template and allow you to make any changes to the current template
If you have chosen “Draft Custom Email” all the fields here will be blank. Type the content of your email in the “Body” text box. And be sure to add a subject to the “Subject” line
You will also have the option to add CC’d Email address(es) in the CC line. To Add multiple CC’d, click the blue “+” button to the right of the CC line.

Scroll to the bottom of the page and click the SAVE button to Send/Schedule your Email.
